This policy explains what Scholars' Guild Research Mentorship ("we") collects when you register for a round, why we collect it, and where it is kept. Scholars' Guild is run by Dr. Sumia Fatima, based in Riyadh, Saudi Arabia.
What we collect
When you create an account and register for a Study Design we collect your name, email address and phone number (the country code is what determines which regional fee tier applies to you), the Study Design you choose, and whether you register as a student or a postgraduate.
Because we do not use a payment gateway, payment is made directly to the accounts we show you and you then upload a receipt as proof. That receipt image or PDF is stored, along with the amount, the date and the verification decision made on it.
Once you are an active member we also hold the work you submit through the member portal — drafts, task updates and messages you send to your mentor, coordinator or team — and, if you choose to write one, your review of the program.
Where it lives
All of it is stored in our Supabase project (a managed PostgreSQL database with file storage). Receipts, drafts and certificates go into private storage buckets — they are not reachable by a public URL, and access is enforced per-row by database policies so that you can see your own records and staff can see only what their role requires.
Email is sent through a third-party email provider so that confirmations and reminders reach you. WhatsApp messages are sent from Director Research's own phone; we do not read your WhatsApp account and nothing is imported from it.
Why we collect it, and who sees it
We use your details to verify your payment, place you in a team, run your round, send you session and deadline reminders, and issue your certificate. Your name and affiliation may appear publicly on this website if you consent — for example on a published article's byline, in the alumni list, or on a review you asked us to publish.
We do not sell your data and we do not share it with advertisers. Inside the program, your details are visible only to Director Research and to the staff assigned to your team.
How long we keep it, and your choices
Registration records, payment receipts and published work are kept for as long as we need them for our records and for the integrity of published research. You can ask us to correct your details, to remove your public profile or review, or to delete your account, by emailing sumiahfatima3@gmail.com. Some records — a verified payment against a published paper, for instance — may need to be retained even after an account is closed.
